What should you consider when evaluating different solutions for electronic signatures?

Sooner or later, all companies carrying out a digital transformation will have to consider implementing an electronic signature solution in order to streamline their management processes and increase their employee productivity. Electronic signatures are fundamental and useful to perform any signing process - signing contracts with suppliers or customers, signing labor contracts or SEPA mandates, etc. - that digitization wouldn't be completed without them.

Given the different electronic signature solutions that are currently available on the market, it is important to consider the following before you choose one or other option:

1. Easy to use

It is essential to check that the process needed to carry out an electronic signature, or to send a document to sign, is as simple and intuitive as possible. Whatever a user’s previous experience with the tool is, the flow should be easy and fast to complete.

2. Without the need to download or install any programs

When in front of any electronic signature solution, assess which one does not require downloading or installing any additional software on the hard disk. It is not desirable to use a platform that consumes your own resources, such as disk space, or that is not a up to date with the latest advancements in technology.

3. Mobility

Considering that in Europe alone, more than half of Internet connections occur via smartphones1, and that more and more activities are carried out through these devices, it is important to assure whether the solution we are considering is responsive, that is, does it allow the user to sign any document from a mobile device?

4. Traceability of the stages and control of the signatures

It is important that an electronic signature solution allows you to track the signature process: receival, opening and signing of the document. This way, you can actually control that the signer has received and signed the document, without having to invest time in following up.

5. Maximum automation as possible

Any electronic signature solution that provides process automation via API integration must be taken into account when choosing a platform. Integrating with Signaturit is the appropriate measure for companies who need to incorporate the signature process within its internal procedures flow - that is, they want to prevent the signer from leaving the company’s platform to sign the document. This option saves time and results in greater productivity for departments.

6. Unique signatures or copy - paste?

Not all electronic signature solutions provide adequate safeguards that make a signature really personal and not transferable, and therefore impossible to copy. In assessing different platforms, make sure they don't "store" signatures. Instead,  each time you need to sign a document, you need to sign it expressly, without calling upon a stored file.

7. An advanced eSignature has more legal value than a simple electronic signature

There are many solutions that offer simple electronic signatures that, unlike the advanced, provide less legal value. The reason is that an advanced electronic signature must meet certain requirements, as set out in the Regulation (EU) No 910/2014. These requirements define the second level of security of eSignatures:

  • it must be uniquely linked to a particular signer
  • it must allow identification of that particular signer
  • it must have been created by a medium controlled by the signer
  • it must allow the signer to detect any subsequent change of his/her signature

Signaturit provides an advanced electronic signature solution, since it meets all the terms established by the European regulation.

8. Corporate image

It is very interesting to consider the option of customizing an electronic signature platform with the company’s corporate image. The logo is a visual reflection of the corporate culture and values, and any detail to nurture and promote these values helps to reinforce all branding efforts the company makes in other areas. At the end of the day, it is about transmitting a strong and coherent corporate image.

We hope that these considerations will help you make a decision about which eSignatures tool is the best solution for your company. If you would like to try Signaturit, you can do it for free during the first 14 days.
